Do you remember all your clients' birthdays? Luckily, you don’t have to-SalonLife remembers them for you! You can easily keep track of birthdays both in the calendar and in a dedicated birthday list. On top of that, you can send clients automatic birthday greetings through the system, making their day even more special.
Why Add Birthdays?
When your salon has an overview of clients' birthdays, it opens the door to more personal, more memorable service. In SalonLife, for example, this lets you send a greeting ahead of the big day, offer a discount, or surprise a client with a small gift or extra service. It’s these little touches that make your salon more memorable to clients and give them a reason to come back.
How to Record a Client’s Birthday

- Go to the Clients view from the top main menu.
- Find the client profile whose birthday you want to enter, and click Show More Info in their detail view, which reveals the Birthday field.
- Choose the right day from the date picker.
- If it’s not convenient to note the actual birth year, you can select the current year instead (e.g., 2022, 2023). What matters is that the day and month are correct.
- Save your changes so the data is kept.

- Birthday list: Once a client’s birthday has been entered into the system, it automatically appears in the Birthdays list. From there, you get a quick overview of who’s celebrating a birthday this month or in the months ahead.
- Detailed date view: If you want to look at a specific client’s birthday in more detail, go back to their client details and find the birthday field.

Birthday Icon in the Calendar: Purple or Red Gift

The birthday icons shown in the calendar give you a quick overview of which clients have a birthday coming up or happening right now:
- Purple gift box: Appears next to a booking when the client’s birthday falls in the same week as the booking (but not on the same day). This gives you the freedom to wish them well a little earlier or later, for example if the client visits the salon a few days before or after their actual birthday.
- Red gift box: Appears next to a client’s booking when their birthday falls on the same day as the booking. In that case, you can personally congratulate the birthday client the moment they arrive at the salon-a surprise they’re sure to remember!
Automatic Birthday Messages

SalonLife lets you set up automatic email or SMS notifications, so you remember your birthday clients right on time. To do this:

- Open Apps and select Automatic Notifications.
- Find the Birthday subcategory, where you’ll see Before Birthday or Birthday notifications.
- Customize the email or message content to suit your taste.
- Add a greeting, a special offer, or an invitation to visit the salon. For example, "Happy birthday! Come celebrate with us-enjoy -15% off this week!"
- Optionally, set the timing:
- A "Before Birthday" email or SMS that goes out, say, 3 days early.
- A "Birthday Day" email or SMS that arrives on the big day.
TIP:
Taking a friendly, personal approach can leave a really good impression. Even a small compliment or gift can warm a client’s heart enough to make them want to come back again next year!
