Sometimes the same client can end up with several separate profiles in SalonLife. This can happen, say, if a client is in a hurry when booking online and doesn’t enter their details precisely, or if a staff member accidentally creates a new client instead of selecting the correct existing one when booking a service in the salon. Fortunately, SalonLife offers an easy way to merge duplicate profiles.

Why Might Duplicate Profiles Occur?

  • The client makes a typo when entering their name or contact details.
  • A staff member doesn’t have correct information about the client (e.g., during a booking made over the phone).
  • The client has previously entered several different phone numbers or email addresses.

As a result, you may notice several client cards in your list with matching first and/or last names, which actually belong to one and the same person.

How Does SalonLife Detect Duplicates?

SalonLife shows a notification about merging profiles whenever a client’s first and last name match across several profiles. The system then offers the option to merge those profiles with a single click.

TIP:
Before merging client profiles, make sure they really do belong to the same client you want to combine into a single profile.

Merging Duplicate Clients

  1. Go to the Clients page.
  2. Find the client profile where you can see that the app offers to merge profiles. Use the search function if needed.
  3. Click the Merge Profiles button.
  4. The system checks whether the profiles can really be merged. It then asks you to confirm that you really want to merge those contacts into one profile.
  5. Confirm the merge of the client profiles.

Which Client Data Remains After Merging?

  • Client name: if both profiles have the same first and last name, that stays the same.
  • Address, phone, email, and other contact details: after merging, SalonLife uses the information entered during the most recent booking.
  • If one profile only had partial information (say, just a phone number), while the other had a phone number and an email, all the data combined across both cards is kept after merging.
Good to know!
If the client’s most recent booking was today, and their contact details were entered correctly at that time, the system will automatically use that data after merging.

What to Do If the Merge Option Doesn’t Show Up

  • Check that the duplicate profiles have the exact same first and last name.
  • Make sure you haven’t already merged those client cards before.
  • If the merge button still isn’t showing, you can edit the data manually, but you can always save your changes and check again later.

Merging duplicate clients helps keep your client database accurate and makes your day-to-day work easier, so you can focus on what matters most-serving your clients.

Before merging profiles, make sure they really are the same client. This way, all the important information in your client database always stays accurate in the system, helping you provide the best possible service to every client.
