If you’ve just joined SalonLife and already have your existing client contacts somewhere else (for example, in an Excel file or another system), here’s the good news: you don’t have to enter client data by hand, one by one. Instead, you can import all the essential information into the system at once.

Below, we’ve put together a detailed guide to importing client data step by step, along with what to keep in mind to avoid any mistakes.

Guide to Importing Client Data

  1.    Open the "Data Import" app
       Go to the Apps page and select the feature called Data Import.

  3.    Select "Clients"
       The data import view offers several options (importing services, products, or clients). Click Clients to upload your client base data.

   Download the Client Data File (Optional)    

  1. The CSV file helps you see which columns and data fields the file should have so it imports successfully.
  2. If your data is already in the right format, you can skip this step and upload your actual file straight away
  3.    Upload Your CSV File    
    • Save the file in CSV format.
    • Click the upload button and find the right file.
    • Once the file is uploaded, click Next.

  4.    Set the Column Meanings    
    • The system tries to automatically detect which column represents first name, last name, phone number, and so on. If something doesn’t match exactly, choose the right option from the dropdown menus yourself (for example, First Name, Last Name, Email Address, etc.).
    • For columns you don’t need, you can choose to simply leave them out of the import (by selecting Skip).
  5.    Start the Import    
    • Once all the columns are set, click Import as the final step.
    • The system then shows how many contacts are about to be imported.

  7.    Check the Import Results    
    • If every row imported successfully, a summary appears showing how many contacts were imported.
    • If any row was skipped due to incorrect formatting, you’ll see how many contacts were imported successfully and how many failed. You’ll also be offered the option to download a file with the errors, so you can pinpoint and fix the cause.

  9.    Confirm the Imported Data    
    • After the import, you’ll find your new clients in your Clients list.
    • If some clients ended up under We Couldn’t Import, you can review the relevant rows again if needed and repeat the process.

Helpful Tips:

  • File Format: Make sure the file is in CSV format (comma-separated values).
  • First and Last Name: We recommend keeping these in separate columns, so the system can identify the data correctly.
  • Phone Number Format: If needed, use a separate column for area codes, or add them before the phone numbers (e.g., +372 5111111).
  • Extra Columns: If you have additional data (e.g., birthdays), decide whether it fits within the fields you’re importing, or whether it’s better to leave it out this time.
NOTE!
If the file you’re importing is very large, the process may take a moment. Don’t interrupt the upload until the system has finished importing.

What Happens Next?

  • After the import, you’ll find all the new contacts among your existing client base.
