In this guide, we’ll look at how to save and manage notes at both the client and booking level. The notes feature is a great way to keep important details in one place and ensure smooth communication across your whole team.
What Are Notes Useful For?
- You and your colleagues can easily add important information to a specific client or booking, so everything you need is always on hand.
- Clients themselves can’t see notes-this information is strictly for internal use.
- Notes help you remember details before a booking, such as allergies or special requests.
- For example, you can save information about a new product or a special nail design under that specific booking.
Client Notes vs. Booking Notes

In SalonLife, there are two types of notes:
- Client notes are always linked to a specific client, no matter how many times they’ve visited your salon. Great for information you want to keep in mind every single visit (e.g., allergies, special requests).
- Booking notes are saved only against that one specific booking. When the client comes back next time, the notes section for the new booking is empty. This works well for one-off observations or needs (e.g., extra details from a treatment, a special procedure).

If you work in a team, it’s worth adding all the important details your colleagues would need to know before starting a treatment, to the booking notes. And why not photos of finished work, too?!
How to Add Notes

- Clicking a booking in the calendar
- Open the SalonLife calendar view and select the booking you want.
- Once the booking is open, find the envelope-shaped notes button in the top right corner.
- You’ll then see two tabs: Booking Notes and Client Notes. Enter the information you need in the right field.

- Select Clients from the top menu, or go to the Apps page and select the Clients tab from there.
- Find the client you want and click their name to open their detail view.
- Find the Show More Info button and click it. Under Additional Info there, you’ll find the client notes area.
How to See in the Calendar View That a Booking Has Notes

Once you’ve added a note to a booking, a blue message icon appears next to that booking in the calendar. This means additional information has been added to the booking that’s worth reviewing before starting the service.

If you’ve turned on the additional info field in your online booking, clients can use it to add extra details or comments when making a booking. This information is automatically saved under the notes for that specific booking, so you can conveniently check it before starting the service if needed.
- Adding the additional info field to online booking
- Open the Apps page in SalonLife and go to the Online Booking tab.
- Then select Preferences, and then Client Info.
- Scroll down through the options that open to find the Additional Info field, and turn it on.
This way, clients can leave you notes right when they book their appointment.
SalonLife’s notes feature helps your whole team record important information consistently and review it when needed. Client notes travel with every booking, while booking notes stay attached to just that one specific booking. You can easily review them both through each booking in the calendar and in the Clients view, when looking at a client’s detailed information.
