Editing the content and settings of your email notifications lets you shape your communication with clients exactly the way that suits your salon. In SalonLife, you decide for yourself what information each notification tells the client, what the email looks like, and when it’s sent.

Changing Email Content & Settings

Step 1: Open Email Notification Management

  1. Go to the Apps page.
  2. Select the Email Notifications button, which takes you to the list of email notifications.
  3. Select the notification you want (e.g. "Reminder email") and click on it.

TIP:
The notification’s title or description helps you quickly tell what type of email it is (for example, booking confirmation, reminder, cancellation, and so on).

Step 2: Edit the Email Content

Once you open the email settings view, you’ll see several text fields:

  • Subject line - the email title, which is the first thing the client sees in their inbox.
  • Preheader text - a short preview snippet shown right after the subject line.

The main body of the email has black text that’s already written for you, and dynamic fields shown in blue that fill in automatically (e.g. "[First Name]").

  • The blue fields fill in automatically based on the specific client’s and booking’s info (e.g. "Hi, Maria!" or "Hi, Kaspar!").
  • The black text is what every client sees the same way, and it doesn’t change when the email is sent.

You’re free to edit the content of your email notifications:

  • Add or remove sentences.
  • Use bold text, emojis, or separate paragraphs to highlight important information (e.g. parking location, payment options, and so on).
  • If needed, you can also delete or edit the dynamic fields, but if you want to keep them, make sure they stay in the right form given the email’s content.
TIP:
Add practical information too. If it’s important, for example, for the client to know about payment methods, parking, or the salon’s location, this is a great place to pass those details along.

Step 3: Set the Email Settings

Below the email content, you’ll see options for customizing how the notification is shown to the client:

  1. Is the email activated (Send the client an email notification)?
    Select "Yes" or "No". If not activated, these emails won’t be sent to clients.
  2. Sender (Who is the email sent to the client from?)
    Should it be sent to the client from the Beauty Professional (with your profile photo) or from the Salon (with the salon’s logo)?
  3. Adding a profile photo and name (Add profile photo and name)
    Choose whether these are shown at the end of the email or not.
  4. New booking link (Add a booking-cancellation link)
    If you’d like, add a link at the end of the email so the client can book a new appointment directly.
  5. Booking cancellation (Booking-cancellation link)
    If you want the client to be able to cancel their own appointment online, select "Yes". Whenever a cancellation happens, the system always sends you a notification.
  6. Sending schedule (When should the email be sent?)
    Set how long before the booking starts the reminder goes out (e.g. a number of days or hours ahead).
  7. Save your changes
    Don’t forget to save your changes with the Save Settings button.


Step 4: Check the Preview

If you’d like, you can immediately check what the email actually looks like.

  1. Click the Preview button.
  2. Choose a suitable test client (in the screenshot: Mia Rand) and their booking, to see what the email content looks like for that specific booking.

This gives you a quick way to check whether the entire email notification’s content displays correctly, and to polish the text further if needed.

Step 5: Check Whether the Email Is Active

Once you’ve made your changes, click save, and check whether your emails are turned on as follows:

  • A green speech-bubble icon next to the email’s name shows that the notification is active.
  • A gray speech-bubble icon shows that the notification is inactive.

If you want your emails to reach clients, make sure to double-check that they’re activated.

The email notification feature lets you automate client correspondence in exactly the way that suits you. Use the existing base texts, or rewrite them to match your own branding. Be sure to put important information somewhere visible, add a link for booking a new appointment, or let the client cancel their own booking. The whole setup process is quick and convenient, and the preview feature helps you make sure everything looks exactly the way you want.
