In SalonLife, every booking can have one of four statuses: Upcoming, Completed, Canceled, and No Show. This guide will help you understand what these statuses mean and how to change them.

A Quick Overview

  1. Upcoming - a booking that’s still ahead, on a future date or time.
  2. Completed - a booking that’s already taken place in the past.
  3. Canceled - a booking where the client has let you know they’re not coming.
  4. No Show - a booking where the client didn’t show up, without letting you know in advance.

How to Change Statuses

If you select a booking from the Calendar and click it, you’ll find the option to change its status in the top left of the window that opens, labeled Upcoming/Completed/No Show.

1) Upcoming and Completed

  • The system changes these statuses automatically once the time or date has passed.
  • For example, if a booking is still ahead, its status shows as Upcoming. Once the booking’s time has passed, SalonLife automatically switches the booking’s status to Completed.
  • You don’t need to change this by hand.

2) Canceled

Use the Canceled status when a client lets you know in advance that they’re not coming (e.g., by calling, messaging, or using the cancel link in the booking confirmation).

To change the status:

  1. Select the booking from the calendar and click it to reach the booking’s detail view.
  2. Click the Upcoming or Completed (or similar) button at the top, and select Canceled.
  3. Confirm the change.

What Does This Do?

  • The booking is no longer shown in the calendar, freeing up that time for new clients.
  • The booking itself isn’t deleted, though-you’ll still find it in the Bookings list, with the status Canceled.

3) No Show

Use this when a client simply doesn’t show up, without letting you know beforehand.

To change the status:

  1. Open the booking.
  2. Click  the booking status button at the top.
  3. Select No Show.

What Does This Do?

  • The booking stays in the calendar, but turns red there, to flag that it didn’t actually take place.
  • You can also "shrink" the booking’s duration (by dragging it shorter in the calendar) to free up room for new bookings.
TIP:
If a client doesn’t show up and the booking’s duration was long, you can free up extra time,
by dragging the booking shorter in your calendar. This way, new clients can book into that same freed-up slot.

An Alternative Way to Change the Status

Besides changing the status directly in the booking’s detail view, you can also do it using the "white settings button" in the top right corner of the booking block:

  1. Click the white settings icon on the booking.
  2. Select Change Status from the menu.
  3. Set the status you want (Canceled or No Show), or check that the system has the right statuses (Upcoming/Completed).

SalonLife bookings have four different statuses, two of which (Upcoming and Completed) the app sets automatically based on the booking’s time. You can set Canceled and No Show yourself, when a client doesn’t show up or gives up their appointment. This way, you always keep your calendar in order and can see which bookings are still ahead and which have already happened.
