When managing bookings, you often need to note important details to keep in mind while serving the client. That’s why every booking has a separate feature where you can add both lasting notes tied to the client and details specific to that particular booking. Below, we’ll explain how to use and find these notes.
Client Notes vs. Booking Notes

Client notes:
- These always travel with a specific client, no matter how many times they visit the salon.
- They’re great for saving longer-term information (e.g., allergies, special requests, notes on the client’s preferences).
- Client notes are visible only to salon staff (authorized users); the client themselves can’t see them.
Booking notes:
- These are tied to a specific booking and don’t automatically carry over to new bookings.
- Use them to note something happening right now or one-off information (e.g., a note that the client will be late, or wants a specific product/treatment this time).
- These notes, too, are visible only to salon staff.

- Adding notes:
- Open the booking you want to add notes to.
- Click the envelope-shaped Notes icon in the top right corner (shown in the image above).
- Fill in the field with the information you need (client notes or booking notes).
- How notes show up in the calendar:
- If a booking has a note, a blue message icon is shown next to it in the calendar.
- The icon draws your attention to the fact that there’s important extra information on that booking, which is worth reviewing before providing the service.
- Information the client enters in the additional info field during online booking:
- If a client adds comments or requests in the additional info field while making an online booking, that text appears under the booking notes.
TIP:
Don’t worry-clients themselves can’t see these note fields in their account. These are internal salon notes, visible only to authorized users.

The booking menu often also has a Booking History tab, where you’ll see all of that client’s past, current, and upcoming visits.

- At the top, you’ll see how many bookings they have in total (including future bookings).
- The list shows every past booking with its date, staff member’s name, and booking status.
- If needed, you can open a specific past booking to see which services were provided or which notes were added to it.
Booking notes give your staff quick access to important information, both about a specific visit and about the client in general. Using them helps you provide better service, since no important detail ever gets forgotten. On top of that, the booking history tab makes it easy to get an overview of a client’s past booking-related notes.
From now on, whenever you’re on a booking, feel free to add notes to improve your salon’s internal workflow and give clients the best possible service!
