In SalonLife, you can quickly and easily create an invoice for every booking, and customize both its content and its design if you’d like. Below you’ll find an overview of how to change your invoice’s overall look as well as its content.

Invoicing can save you valuable time, since you don’t need a separate accounting program or to put invoices together by hand. Everything is conveniently tied to your bookings and manageable from one place.

You can also add personal touches to your invoice — your salon logo, business or sole proprietor details, bank details, thank-you notes, and other important details.

TIP:
Add a short, memorable thank-you message or personal greeting to your invoice’s extra info field, to leave clients with an even warmer impression.

Where Do You Go to Change Invoice Content?

  1. Log in and go to the Apps page.
  2. Open Online Payments & Invoices and then the Invoice Settings app.
  3. Here you’ll find several ways to customize your invoice:
    • Add a Logo: Upload your salon logo so it’s displayed at the top of the invoice.
    • Business/Sole Proprietor Details: Enter the correct business name (or your first and last name), address, email address, phone number, and so on.
    • Bank Details: If you want clients to pay by bank transfer, be sure to add the bank details your invoice needs.
    • Taxes: If you operate in a country where the VAT rate differs from Estonia’s, you can change the tax rate or hide it entirely if needed.
    • Additional Invoice Info: This text appears at the end of the invoice — an ideal spot for a greeting or thank-you message.

After making your changes, don’t forget to click Save so all the updates take effect.

Changing the Invoice Text

If you want to change specific words or terms on the invoice (for example “Product” vs. “Service Name”), you can do that on the same Invoices page by selecting Edit Text. This is especially useful if:

  • You operate abroad and want to show all details in, say, Finnish, Russian, or English.
  • You want to word what’s shown to the client on the invoice more precisely.

Invoices for Different Staff Members or Businesses

‍
  1. Go to the Apps page and select the Online Payments & Invoices tab.
  2. Find Payment Profiles, and under it, find your payment profile; if there isn’t one, click the green (+) button in the top right corner and enter a name for the payment profile.
  3. Once a payment profile exists, find your staff’s list of online payment profiles and click Set Up next to the payment profile’s name.
  4. Enter each staff member’s or business’s contact and tax details separately.

That way, the client gets exactly the right invoice with the right staff member’s details.

Changing your invoice content and design in SalonLife is designed to be as flexible as possible. You can add your logo, change your tax info, add thank-you messages, and, if you like, let every staff member issue invoices with their own individual details. All that matters is that all the necessary information is entered correctly and saved.
‍

TIP:
A personal invoice that reflects your business’s visual identity, with a genuine thank-you, always leaves a professional impression and makes the whole process simpler for the client.

Once you’ve finished your changes on the Online Payments & Invoices app page, you can test how they look: download a sample invoice or create a test booking and see if everything looks exactly the way you wanted!

Creating invoices in SalonLife is simple and helps you manage your tasks far more productively.
Every invoice is automatically linked to its booking, and you can customize the design to match your salon’s style. That way, you save time, avoid double work, and give your clients thoughtful, professional service.
