If a client has already paid a prepayment for a booking and the booking’s details change afterward, the final total changes accordingly.
This can happen, for example, when:
• the client chooses a different service on-site
• additional services are added
• a different treatment is decided on-site based on need

If the New Service Total Is Higher Than the Prepayment Already Paid
In that case, the prepayment the client already paid is deducted from the final total, and the client pays the remaining amount on-site.
Example:
• the client originally booked a 50 € French manicure
• the system required a 20% prepayment, so the client paid 10 € upfront
• on-site, the client decides to get a 45 € gel manicure instead
In this case:
• the client’s 10 € prepayment still counts
• the new service total is 45 €
• the client pays an additional 35 € on-site
If the New Service Total Is Lower Than the Prepayment Already Paid
If the client has paid more in prepayment than the new service ends up costing, you’ll need to settle the difference with the client yourself.

SalonLife can’t refund this amount to the client automatically, since the prepayment goes straight to the service provider’s account.
Example:
• the client originally booked a 50 € French manicure
• the client paid a 20% prepayment, or 10 €
• on-site, the client decides to have their gel nails removed instead, and the service total is 8 €
In this case:
• the client has paid 2 € more than the new service price
• the service provider needs to settle that 2 € with the client themselves (for example, by bank transfer)
How Do You Keep an Accurate Payment History in the System?

To keep an accurate, traceable payment history attached to the booking, follow these steps after settling up with the client:
- Go to the booking in the Calendar view
- Open the booking overview
- Click Checkout
- Select Refund
After that, the system creates a separate receipt, which you can use for accounting or internal reporting, for example.

If clients often change services on-site, it’s worth agreeing in advance with your team on how leftover amounts get settled at your salon. That way everyone’s on the same page, and the client experience stays smooth.
