In SalonLife, you can create a salon-wide passcode that only gives your returning clients access to online booking. If you want to stop new clients from booking online, for instance, or you’ve already built up a solid base of returning clients, this feature helps you keep your bookings under control.
Why Choose a Salon-Wide Passcode?
- Lets you offer online booking only to returning clients, or to anyone you’ve given the passcode to separately.
- Prevents unwanted or random bookings from people you don’t want to serve yet.
- Lets you decide exactly who gets the passcode-for example, in person or through a newsletter.
Besides a salon-wide code, you can also set up a separate personal passcode for each staff member. You’ll find more on that in other SalonLife articles.
How to Add a Passcode

- Go to the Apps page and select Online Booking.
- Open Preferences.
- Select Location from the menu.
- Turn on Online Booking Passcode and enter a number combination that works for you (4–6 digits).
- Save your changes.
Once saved, the salon-wide online booking passcode becomes active. From then on, clients who open your online booking page first see a locked screen asking them to enter your code. Only the right code lets a client move on to choose a service and time that suits them.
What Does This Look Like for the Client?

When a client opens your Online Booking link:
- They first see a locked screen with a message explaining that booking is available to returning clients only.
- The client can enter the correct passcode you’ve shared with them.
- Once the right code is entered, the normal booking environment opens up (calendar and staff selection).
If a client enters the wrong code or doesn’t know it, they won’t be able to complete a booking.
Sharing the Passcode
Once you’ve set up the passcode, the next step is deciding how to share it with your returning clients. For example, you could:
- Share the code with clients in person (e.g., during a conversation, or through email and SMS notifications).
- Send returning clients a newsletter (using the Apps page’s Integrations section to find the MailChimp integration).
Keep in mind that this way, only the people you’ve given the code to will be able to book with you.
A salon-wide online booking passcode is especially useful when you want control over who can book appointments at your salon online. Make sure you enter a code you only share with the people you want to give access to. Once saved, the system takes effect right away, and only those who know the code will be able to use online booking.
