Adding a gift card as a payment option in your salon is a simple, convenient way to let clients pay for their services in advance, using a unique code or QR code.

Below you’ll find a step-by-step guide to adding a gift card as the payment method on a booking, along with the options this opens up.

Quick Overview

Using a gift card to pay for a booking is simple and takes just a few steps. For the whole process to run smoothly, the salon needs to have already issued or sold the gift card in question. The client presents their gift card (with its code or QR code), and the salon then marks the payment as made with that card.

  • If your phone camera can read QR codes, you can scan the gift card’s details directly.
  • If the client brings a paper gift card or shows it on their phone, you can simply enter the unique code by hand.

  1.    Open the booking from the calendar
Go to the calendar view and select the specific booking the client wants to pay for with a gift card.
  2.
  3.    Under Checkout, choose Gift Card as the payment method
The booking’s detail view shows you a list of payment methods. Click the Gift Card option to open the gift card entry fields.
  4.
  5.    Enter the gift card code
       - If you’re using a QR code reader or camera, scan the client’s gift card to detect the code automatically.
       - If scanning isn’t an option, ask the client for the unique code and enter it manually in the relevant field.
  6.
  7.    Confirm the payment
After entering the code, click the search icon to confirm the payment method has been added. The system now links the payment to that specific gift card and reduces its balance by the value of the booking.

Tracking the Gift Card Balance

After a gift card has been used, the salon has a clear overview of the remaining balance and the card’s usage history. The points below help explain what this looks like:

  •    Point of Sale & Sales
This shows every booking made and how it was paid for. If a booking was paid with a gift card, it shows up in the sales overview.
  •    Gift Cards
On the Gift Cards page, you’ll see each gift card’s total value, amount spent, validity period, and other details. That way, you always know exactly how much balance is left on any given gift card.
  • If there’s enough balance left on the gift card, the client can use it to pay for several different services.

Tips:

  •    Save time with a QR code: If your computer or mobile device has a camera, it’s more convenient to hold the gift card up to the camera and let the system detect it automatically.
  •    Enter the code manually: You can always type in the code the client gives you. This works especially well when a QR code isn’t available.
  •    Quick tracking: The payment method for every booking (including gift cards) shows up right away in the point-of-sale overview, so you don’t need to go to the Gift Cards page separately.

Hopefully this guide makes it easy to mark a gift card as the payment method on your bookings. Clients get to use the gift card they’ve already bought without any hassle, and you always have a clear overview of it all!
